The Office Manager will work from Leuven, with very occasional travel to events.

How you'll make a difference:

We are looking for a pro-active and dependable Office Manager who will be the face of the company, working shoulder-to-shoulder with the HR department and the management team. You support them by providing a variety of administrative and instrumental tasks that help them to manage their workload, make efficient decisions and organise their day and free up their time, thus ensuring that the business runs properly and smoothly.

You furthermore maintain, professionalize and continually improve the current office systems (including data management), growing along with the company in size, focus and international scope. Nothing is too much to ask, you fulfil a diverse set of tasks and responsibilities with your bring-it-on, self-managing mentality and your outstanding attention to detail. You see(k) work everywhere and embrace this fully. Creating structure in a sometimes-chaotic, scale-up environment drives you as does the challenge to balance multiple tasks on a daily basis.

You are the first point of contact for any office-related and administrative tasks. You welcome visitors and clients, organize meetings, guarantee that office materials are always on stock and make flight and hotel arrangements for (international) travel and events. You carry out background research and present finding. You take responsibility for the overall maintenance of our offices and are a resourceful, go-to-person for all-round chores. You build relations with our suppliers for office materials, catering, cleaning services etc. You offer administrative support for events and help with filing data or data input.

Duties & Responsibilities

Liaise with the HR department, management, staff & external parties:

  • Improve internal communication;
  • Implement improvement on internal processes;
  • Support the setup of offices abroad;
  • Research.

Manage administrative processes:

  • Manage filing systems, update paperwork and maintain documents;
  • Plan and coordinate international business trips & events;
  • Order and organize office materials;
  • Handle incoming calls and other communications;
  • Take care of information flow to our payroll team;

Maintain office common areas and equipment;

Greet clients and visitors;

Help coordinate team events.

  • Experience in working in a start-up/scale-up is a plus.
