Your role

In order to ensure the smooth running of our office, we are looking for a service-minded, communicative and dedicated Office Manager.

The successful candidate will have the opportunity to have daily contact with amazing colleagues. Flexibility in terms of job content is important as ad hoc tasks (for example assembling a table) will be part of your job. 

The Office Manager will report to and work in close collaboration with the Chief of Staff.

What you'll learn and do

  • You are the first point of contact for incoming calls and give visitors (suppliers, clients, … ) a warm welcome;
  • You keep an eye on the neatness in the office and act as required;
  • You take care of the mail (incoming and outgoing); 
  • You process paperwork in DocuSign for signature and keep our hard copy and electronic filing up to date;
  • You manage (follow up and order if needed) the office supplies (pens, paper, toner, coffee beans, soft drinks, … ) and IT material;
  • You are in charge of account set-up for new hires, role based permissions and our software license management;
  • You take care of facilities. You manage the building and parking access, you anticipate and solve issues (for example a broken lamp), … ;
  • You give practical hands-on support; taking care of the office plants, empty the dishwasher, refill the beverage fridge, … are things that are on your to do list; 
  • You book travel for new hires, client visits and events;
  • You assist in the organization of our team events;
  • You're happy to take on ad hoc requests and projects.

About you

  • You have a Bachelor degree and you have a first work experience in a similar function;
  • You have a good knowledge of Google Workspace and MS Office;
  • You have excellent communication skills, written and verbal, in English and Dutch
  • You have positive attitude, are service-minded and assertive if needed;
  • You are responsible and take pride in your work;
  • You can work independently; you are able to organize, prioritize and manage your workload;
  • You are proactive and on the lookout for ways to improve/optimize; 
  • You have excellent attention to detail;
  • You work daily at our office during office core hours (8:30 AM - 5 PM).
